Privacy Policy
How the Pissouri Residents Association collects, uses and protects your personal data. Last updated 17 September 2026.
Who we are
The Pissouri Residents Association (“the Association”, “we”, “us”) is an independent, volunteer-run association representing residents of Pissouri village, Limassol District, Cyprus. We run this website at www.pissouriresidents.com.
For the purposes of the EU General Data Protection Regulation (GDPR) and Cyprus Law 125(I)/2018, the Association is the data controller for the personal data described here. You can contact the committee about anything in this policy at membership@pissouriresidents.com.
The short version
- We only collect what we need to run the Association and reply to you.
- We never sell your data or use it for advertising.
- The website sets no tracking or advertising cookies, and has no analytics.
- Forms on this site are emailed to the committee. The website itself does not keep a copy.
- You can ask to see, correct or delete your data at any time.
What we collect, why, and for how long
Visiting the website
Like every website, our server receives technical information when you visit, including your IP address, browser type and the pages you request. Our hosting provider keeps this in server logs for a short period for security and to fix problems. Legal basis: our legitimate interest in running a secure website (GDPR Article 6(1)(f)).
The fonts on this website are stored on our own server, so loading a page does not share your IP address with any font provider.
Applying for membership
When you apply through our membership form we collect your name, email address, phone number, postal address (including country), whether you are a permanent or part-year resident, the number of adults in your household, and anything else you choose to tell us.
We use this to process your application, arrange payment, keep a register of members, contact you about Association business, and let you vote at the Annual General Meeting. Legal basis: taking steps at your request to make you a member, and then administering your membership (Article 6(1)(b)). The tick box on the form confirms you have read how we will use your details.
How long: if you do not go on to become a member, we delete your application within 6 months. Member records are kept while you are a member and for 2 years after your membership ends. Financial records of payments are kept for as long as Cypriot law requires.
Contacting us
When you use our contact form we collect your name, email address, the street or area you mention, the topic and your message. We use it to reply and, where you ask us to, to raise the matter with the Community Council or other authorities. Legal basis: our legitimate interest in responding to residents (Article 6(1)(f)). How long: up to 2 years after the matter is closed.
Reporting a broken streetlight
Our streetlight form asks only for the street name and the pole number. It does not ask for your name or contact details, so we cannot reply to you about the report. We pass the street name and pole number on to the relevant authority. Legal basis: our legitimate interest in passing on faults that affect residents (Article 6(1)(f)). How long: up to 2 years.
The members area
If you are a member, the committee may create a login for you. Your account holds your name, email address and a securely stored password, together with your member number, household, the date you joined and your renewal date. We use it to let you sign in and see members-only notices, minutes and documents. Legal basis: administering your membership (Article 6(1)(b)). How long: your account is deleted within 3 months of your membership ending.
Emails from the committee
We email members about meetings, events and matters affecting the village. These are part of your membership, not marketing, and we do not use mailing-list services that track whether you open them.
Who we share it with
We do not sell, rent or trade personal data. We only share it with organisations that help us run the website and the Association, and only as far as they need it:
- Euronodes, our website hosting provider, which stores the website and its server logs.
- Our email provider, which carries and stores the emails sent from our forms and between the committee and members. The membership@pissouriresidents.com mailbox is managed by the Association’s currently appointed Membership Secretary.
- Cloudflare, for Cloudflare Turnstile, the spam protection on our forms (see below).
- The Community Council or relevant authorities, only when you ask us to raise a matter on your behalf, or where we are legally required to.
Committee members can see membership and contact details only as far as their role requires.
Spam protection (Cloudflare Turnstile)
Our membership and contact forms are protected by Cloudflare Turnstile, which checks that a form is being sent by a person rather than an automated program. It runs only on the pages that contain a form. Most people pass automatically; occasionally you may be asked to tick a box.
To do this, Cloudflare processes technical information such as your IP address and details of your browser and device. Cloudflare states that Turnstile does not use cookies and does not use this information for advertising. Legal basis: our legitimate interest in protecting our forms and inboxes from spam and abuse (Article 6(1)(f)). See the Cloudflare Privacy Policy.
Transfers outside Europe
Cloudflare may process data outside the European Economic Area, including in the United States. Cloudflare participates in the EU–US Data Privacy Framework and also uses the European Commission’s Standard Contractual Clauses to protect data transferred outside the EEA.
Cookies and similar technologies
This website does not use advertising, analytics or social media tracking cookies, and does not show a cookie banner because it has nothing to ask consent for. The fonts are served from our own server rather than a third party. If you only read the site or send a form, it sets no cookies at all.
The only cookies we use are strictly necessary for signing in:
- Sign-in cookies (
wordpress_test_cookie,wordpress_logged_in_…,wordpress_sec_…): set only when you sign in to the members area. They keep you signed in. They expire when you close your browser, or after 14 days if you tick “Remember me”. Signing out removes them. - Account screen preferences (
wp-settings-…,wp-settings-time-…): set only if you open your account or profile screen after signing in. They remember layout choices on that screen and contain no personal data.
Cloudflare Turnstile runs on the pages with forms (Contact and Become a Member) for spam protection, as described above. Cloudflare states that Turnstile does not set cookies.
Cookie notice: the first time you visit, a short notice explains our cookies. When you click “OK, got it”, your browser stores a small value (pra_cookie_notice_ok) so the notice is not shown again. It is kept only in your browser, is never sent to us, and contains no personal data.
You can clear or block cookies in your browser settings, though blocking them will stop the members area sign-in from working.
Keeping your data safe
The website uses an encrypted (HTTPS) connection. Passwords are stored in a scrambled form that cannot be read back. Members-only documents are kept in a protected area of the server that cannot be reached without signing in. Only committee members who need access to personal data have it.
Your rights
Under the GDPR you have the right to:
- Access the personal data we hold about you and receive a copy.
- Correct anything that is wrong or incomplete.
- Delete your data where we no longer have a reason to keep it.
- Restrict how we use your data in certain circumstances.
- Object to us using your data on the basis of our legitimate interests.
- Receive your data in a portable format, where the law provides for it.
- Withdraw consent at any time, where we rely on your consent.
To use any of these rights, email membership@pissouriresidents.com. We will not charge you, and we will reply within one month. We may need to confirm your identity first.
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. The only automated check on this website is the Cloudflare Turnstile spam check described above.
Children
Membership is for adult residents. Our forms are not intended for anyone under 18, and we do not knowingly collect personal data from children through this website.
Complaints
If you are unhappy with how we have handled your personal data, please contact us first at membership@pissouriresidents.com so we can try to put it right.
You also have the right to complain to the supervisory authority in Cyprus: the Office of the Commissioner for Personal Data Protection, Nicosia (www.dataprotection.gov.cy).
Changes to this policy
We will update this page if the way we use personal data changes. The date at the top shows when it was last revised.
